Teams tab

Note: Make sure you have set up your departments before setting up your teams. Refer to Departments tab for setup instructions.

Use the Teams page to set up the employees in the department so they can be assigned to appointments in Appointment Manager.

A department can have one or more teams, but an employee can be assigned to only one team and department.

Note: To be assigned to appointments in a department, the Service Advisor must be first assigned to a team.

  1. The available teams are listed under their department on the left of the page. To make changes to a team, click on the team name in this list.
  2. To edit the team name, click the “Edit” icon. Enter the new name then click “Save” to save any name changes, or click “Cancel” to cancel them.
  3. In the middle of the page, the Team members list shows the current Service Advisors in the selected team.
  4. Under Add Employees to <<team name>> there is a list of all the employees in the dealership who are not currently assigned to this team.

    The icons under each name indicate:
    • Their role.
    • if they are enabled to accept appointments from Online Scheduler.
    • the department they are in.
    • the team they are currently assigned to, if any.


  1. Click on the arrow next to the Service Advisor in the Add Employees list to add them to the Team Members list. They can now be assigned to appointments for the associated department.   
  2. To remove the Service Advisor from a team, click on the arrow next to their name in the Team members list.
  3. To find the Service Advisor in the available list, use the Search field and/or the search category drop-down list.

  1. To delete a team, click the “Delete” icon . If there is only one team in the department, it cannot be deleted. If a team is deleted, the Service Advisors is unassigned from the team and their appointments reassigned.  Note that there is no delete confirmation required.
  2. To create a new team, click "New team". Enter the team name then add available Service Advisors
    • When at least one Service Advisor is in the team, you can select “Save” next to the team name.

A confirmation notice is displayed when a change is successfully made.

Once your team(s) are setup, move on to the Employees tab to set up your employees’ working times.
